Returns & Refunds Policy

This Returns & Refunds Policy applies to purchases made from Telco Parts B.V. through TelcoParts.com, by email, quotation, purchase order or any other sales channel operated by Telco Parts B.V.
Telco Parts B.V. supplies exclusively to business customers (B2B). This policy does not apply to consumers.

2. Standard return period
Eligible standard-stock products may be returned within 30 calendar days after delivery.
A return must be requested within this 30-day period and requires prior approval from Telco Parts and a valid Return Merchandise Authorisation (RMA) number.
Products returned without a valid RMA number may be refused and returned to the customer at the customer's expense.
The 30-day return period applies to eligible non-defective standard-stock products, including situations where a customer has ordered an incorrect product or no longer requires the product.
3. Conditions for standard returns
To qualify for a standard return, the product must:

be unused;
-
be uninstalled;
-
be unmodified and unprogrammed;
-
be in resalable condition;
-
be returned in its original product packaging;
-
include all original accessories, manuals, components and documentation;
-
have all original labels, serial numbers and identification markings intact; and
-
be free from damage, contamination, writing, stickers or other alterations made by the customer.
Manufacturer seals must remain intact where opening or removing a seal affects the product's resaleability, registration, warranty or licensing status.
Telco Parts reserves the right to reject a return if the returned product does not meet these conditions.
4. How to request a return
Before returning any product, the customer must contact Telco Parts to request an RMA.
Return requests can be submitted by email to:

company name;

order or invoice number;
-
product SKU or manufacturer part number;
-
quantity to be returned;
-
serial number, where applicable;
-
reason for the return; and
-
photographs or additional information where requested.
After approval, Telco Parts will provide an RMA number and return instructions.
The RMA number must be clearly referenced on or with the return shipment.
Products must not be returned until an RMA has been issued.
Once an RMA has been issued, the customer should dispatch the approved products without unnecessary delay and in accordance with the return instructions provided by Telco Parts.
5. Return shipping costs
For standard returns of non-defective products, return shipping costs are the responsibility of the customer.
The customer is responsible for:
-
correctly packaging the returned products;
-
arranging return transportation;
-
transport and insurance costs;
-
export or import documentation where applicable;
-
customs charges, duties and taxes arising from the return; and
-
the risk of loss or damage during return transportation until the products have been received by Telco Parts.
We recommend using a trackable and adequately insured shipping service.
A return shipment sent cash on delivery or with charges payable by Telco Parts may be refused unless this has been agreed in writing in advance.
6. Restocking fee
Approved standard returns of non-defective standard-stock products are subject to a 10% restocking fee.
The restocking fee is calculated as 10% of the net purchase price of the returned product, excluding VAT.
The restocking fee covers handling, inspection, administration, testing where applicable and returning the product to saleable inventory.
The 10% restocking fee does not apply where Telco Parts has supplied an incorrect product and the error is attributable to Telco Parts.
7. Inspection of returned products
All returned products are inspected after receipt.
Telco Parts may test products where reasonably necessary to determine their condition, functionality, completeness or eligibility for refund.
If a returned product:
-
has been used or installed;
-
is damaged;
-
is incomplete;
-
is missing original packaging or accessories;
-
has damaged or missing labels or serial numbers;
-
has been modified or programmed;
-
cannot reasonably be resold as new; or
-
otherwise fails to meet the return conditions stated in this policy,
Telco Parts may reject the return.
If a return is rejected after inspection, the customer will be informed and may be required to arrange collection or pay the costs of returning the product to them.
8. Refunds
Once an eligible return has been received, inspected and approved, Telco Parts will process the refund within 10 business days.
For standard non-defective returns, the refund will consist of the eligible product purchase price less the applicable 10% restocking fee.
Original delivery costs, express shipping charges, service fees, handling fees, customs charges, duties and other additional costs are not refundable unless otherwise agreed in writing or the return results from an error attributable to Telco Parts.
Refunds will normally be made using the original payment method.
Where an order was paid by bank transfer or invoice, Telco Parts may issue a credit note and refund or credit the applicable amount to the customer's business account.
The time required for funds to appear in the customer's account after Telco Parts processes the refund may depend on the customer's bank or payment provider.
9. Non-returnable products
The standard 30-day return policy does not apply to the following products:
Special-order products
Products specifically sourced, purchased or ordered by Telco Parts for an individual customer and which are not part of Telco Parts' normal returnable stock are non-returnable.
Custom or modified products
Products that have been customised, manufactured, assembled, terminated, cut to length, labelled, programmed, configured or otherwise modified specifically for the customer are non-returnable.
Software and licences
Software, licence keys, subscriptions, digital products and electronically delivered licences are non-returnable once supplied, issued, registered, activated or otherwise made available to the customer.
Used or installed products
Products that have been installed, used, programmed, modified or damaged after delivery are not eligible for a standard return.
Products with broken seals
Products for which a manufacturer or security seal has been broken may be non-returnable where breaking the seal affects resaleability, registration, licensing, warranty or product integrity.
Products identified as non-returnable
Products expressly identified in a quotation, order confirmation, product page or other written communication as non-returnable, final sale, special order or equivalent are excluded from the standard return policy.
These exclusions do not affect an applicable warranty claim for a product that is genuinely defective.
10. Incorrect products supplied by Telco Parts
If Telco Parts has supplied a product different from the product stated on the confirmed order, the customer should notify Telco Parts as soon as possible and in any event within the applicable complaint period.
After verification, Telco Parts will provide appropriate return instructions.
For an incorrect product supplied due to an error attributable to Telco Parts:
-
no 10% restocking fee will apply;
-
Telco Parts will arrange or bear reasonable standard return shipping costs, provided the agreed return procedure is followed; and
-
Telco Parts may, as appropriate, replace the product, issue a credit or issue a refund.
Products must not be returned before receiving an RMA and return instructions.
11. Damaged or defective products
Visible damage, shortages or other apparent defects must be reported to Telco Parts in writing within 8 working days after delivery.
Hidden defects must be reported in writing within 8 working days after discovery.
Customers should provide sufficient information to enable Telco Parts to assess the claim, which may include:

order or invoice number;
-
product number;
-
serial number;
-
description of the problem;
-
photographs;
-
diagnostic information; and
-
other information reasonably requested by Telco Parts.
Defective products are handled under the applicable warranty terms rather than as a standard 30-day return.
12. Warranty returns
Unless otherwise agreed in writing, Telco Parts provides a 12-month carry-in warranty against manufacturing and material defects.
A warranty return also requires prior approval and a valid RMA number.
Under the carry-in warranty procedure, the customer is responsible for returning the product to the location specified by Telco Parts unless Telco Parts agrees otherwise in writing.
After inspection and verification of a valid warranty claim, Telco Parts may repair or replace the product in accordance with the applicable Terms and Conditions.
A warranty does not apply to defects or damage resulting from improper installation, misuse, external damage, incorrect handling, unauthorised modifications or other circumstances excluded under the applicable Terms and Conditions.
13. Exchanges
Telco Parts does not offer a general automatic exchange service for standard returns.
Where a customer wishes to order a different product, the original product may be returned in accordance with this policy and the replacement product may be placed as a new order.
For incorrect deliveries or approved warranty cases, Telco Parts may provide a replacement where appropriate.
14. Refused and undeliverable shipments
Refusing delivery does not automatically constitute an approved return.
If a shipment is refused, unclaimed or returned as undeliverable without prior approval from Telco Parts, the customer may remain responsible for:

outbound shipping costs;
-
return shipping costs;
-
storage or handling charges;
-
customs charges and duties;
-
any applicable restocking fee; and
-
other costs reasonably incurred as a result.
The product will only be credited if it otherwise qualifies for return under this policy.
15. International returns
Customers returning products from outside the Netherlands are responsible for correctly completing all transport and customs documentation.
Returned products should be clearly identified as returned merchandise where applicable.
The customer is responsible for any taxes, duties, brokerage costs or other charges incurred because return documentation was incomplete or incorrect, except where the return results from an error attributable to Telco Parts and Telco Parts has agreed otherwise.
16. Return address
Products must only be returned to the address specified in the RMA instructions.
Do not send products to Telco Parts without prior authorisation.
The company's registered or general business address is not automatically the applicable return address for every RMA.
17. Relationship with our Terms and Conditions
This Returns & Refunds Policy forms part of the commercial terms applicable to orders placed with Telco Parts B.V.
The general Terms and Conditions of Telco Parts B.V. continue to apply, including provisions relating to delivery, complaints, warranty, liability and applicable law.
Where specific return conditions have been agreed in writing in a quotation, contract, order confirmation or other individual agreement, those specifically agreed conditions take precedence for the relevant order.
18. Changes to this policy
Telco Parts may update this Returns & Refunds Policy from time to time.
The version applicable to an order is the version in force at the time the relevant order is placed, unless otherwise agreed in writing.
